In this digital age, seamless workflows, business automations, and a practical system for taking a client from Point A (initial inquiry) to Point B (satisfied and happy client) in your business is EVERYTHING. We all have to start somewhere with humble beginnings as I did. In the process of my growth and evolution as a #businesswoman and #creativepreneur, I've used several different tools throughout the years to help me manage my business and work with my clients in a way that they are served best. Some of these tools that I will reference in this blog post I actually still use and integrate into my business to this current day.
Google Drive (Gmail, Docs, Spreadsheets, Forms). Hubspot. 17 Hats. Monday.com. Honeybook. Dubsado. These are all very popular online client relationship management (CRM) tools that are widely used in the photography, creative, and event professionals industries. I have managed my client relationships and correspondence both manually (i.e. Google Drive, Gmail) and with CRM tools (i.e. Hubspot, Honeybook, Dubsado), which offered both free and paid features. Once I landed on Dubsado's platform and my eyes were opened to the possibilities and wonders that it would do in my business, I made an official switch to Dubsado and never looked back.
Now I should clarify that no one of the tools that I referenced previously is any better than another. It's all a matter of preference and using the tools that work best for you. When I began using Dubsado, it was very clear that I preferred the layout and features more than what some of the other platforms offered.
Here are 5 of my favorite features that Dubsado that I greatly enjoy:
1. It has a Google calendar integration to help prevent double-booking.
I consult, add to, modify, and adjust my calendar EVERY SINGLE DAY! Google calendar has been the best tool for me to help me visually stay organized with a day and week outlook on what I need to accomplish. Even when things don't always go as planned (which is okay and is life), I can fall back on Google calendar to initiate plan B and/or C. What's cool about Dubsado is that it allows you to integrate and sync your google calendar to your schedule, block off the times that you are unavailable for booking, and thus prevent double-booking when people are interested in hiring me for photography services. It's physically impossible to be in more than one place at one time. At a quick glance, I can see whether I'm free or not because my synced Google calendar is right there! This is genius! I've experienced first hand almost double-booking clients and want to avoid it as much as possible. Dubsado with the Google synced calendar integration has allowed me to steer clear of this issue.
2. Dubsado offers very affordable pricing (monthly and annually) and community.
Dubsado was first referred to me by a fellow photographer friend as a means to work on my workflows and manage my clientele. 3. I can accept payments with Square POS and PayPal integrations.
When I transitioned to this platform, it was very important to me that I was able to maintain and integrate the Square system that I primarily use for invoicing and recording sales transactions. In Dubsado's settings section, they made it very easy for me to sync my Square account and begin to accept payments via Dubsado's platform. This means I do everything all in one place and have a clean record of all of my transactions throughout the year. Finances could not be more demystified and simple.
4. Dubsado offers a wealth of pre-written templates for emails, contracts, forms, and proposals.
Templates are a HUGE timesaver! Early in the beginning I would spend at least an hour per email replying to client inquiries and specific questions about my services. Oftentimes, many questions were asked more than once. There's no need to reinvent the wheel when you can save your own template to use later. This is exactly what Dubsado allows me to do. I can customize their templates to my liking and to match my business, or completely create my own templates from scratch. I've done both! The best part is that you can also embed these templates and forms directly to your website or even share the direct link with your recipient. With these templates, now it only takes me about 15-20 minutes to compose an email to be sent. I call that a huge return on a small investment.
5. They offer a very simple referral affiliate program.
